Build the file architecture first

A personnel file should not become a single folder for every document connected to an employee. Some records may require different access, storage, or handling. Steady maps the document types, authorized users, source systems, naming rules, and update process before reorganizing files.

The structure can include a core personnel record, payroll and compensation approvals, acknowledgments, performance documents, benefits handoffs, onboarding and offboarding records, and separate restricted locations where the employer's policy requires them. Employment counsel should review questions about access, retention, medical information, investigations, or legally privileged material.

Control employee changes

Every employee change needs a source, an approver, an effective date, and a record of where the update was sent. Steady can administer change forms for pay, title, manager, department, schedule, location, status, address, tax information, PTO, and other fields in scope.

Keep onboarding and offboarding records complete

The employee file begins before the first day and continues after the last one. Steady can connect employee onboarding to the active employee record so accepted offers, forms, acknowledgments, and completed tasks arrive in the right place.

At separation, employee offboarding closes open tasks, updates status, and moves the record into the approved former-employee structure. The checklist shows whether payroll, benefits, access, property, and file updates were completed.

Administer the recurring calendar

Good records are maintained on a schedule, not cleaned up only when someone asks for them. Steady can maintain recurring tasks for review cycles, expiring documents, policy acknowledgments, benefits handoffs, employee information reviews, license or certification tracking where included, and other employer-approved deadlines.

Work inside your current systems

Steady can work with the employer's current HRIS, payroll platform, document storage, task system, and provider portals, subject to access and security requirements. If the system itself is the problem, an HR project can cover selection support, data cleanup, file migration planning, standard fields, permissions, and operating procedures.

The goal is not to buy more software. It is to create one dependable workflow for collecting, approving, updating, and retrieving employee information.

Set access by role

Employee information should not be equally visible to everyone who manages people. Steady can help the employer map administrative roles to the minimum records and system functions they need. A supervisor may need a roster and review form without access to compensation, benefits, identification, or restricted records. Payroll may need approved pay and tax information without access to unrelated manager notes.

The employer approves permissions and the system owner implements them. Counsel, privacy, security, or benefits specialists may need to review sensitive categories. Steady documents the approved access model and includes access changes in onboarding, role changes, and offboarding.

Make requests traceable

Employment-verification requests, employee information changes, file access, and document corrections should enter through a defined channel. Steady can log the request, confirm authorization, route approval, record completion, and preserve the supporting record.

This is especially useful when several managers or locations submit changes. The log separates a request from an approved action and shows whether the update reached every system in scope. It also prevents an employee's official record from being changed based on an informal message that lacks an effective date or authorized approval.

Add quality checks without creating bureaucracy

A useful record check focuses on fields and documents that drive real work. Steady can compare the active roster with payroll status, manager assignments, location, pay-change records, acknowledgment status, and onboarding or offboarding completion. Exceptions are documented and assigned rather than “corrected” from an unverified source.

The check can be scheduled by trigger, such as a hire, transfer, pay change, leave, or separation, and supplemented by a periodic reconciliation. This is more dependable than waiting for a full cleanup. It also creates a clear point when the employer can approve corrections and determine whether a broader legal, payroll, or security review is needed.

Steady can provide a concise exception summary without distributing the underlying sensitive documents. Leadership sees the category, assigned owner, due point, and status, while authorized administrators retain access to the record needed to resolve it. This keeps accountability visible without expanding access unnecessarily.

Can Steady clean up existing personnel files?

Yes. A cleanup project can inventory the current records, define the approved structure, identify duplicates and missing items, reorganize documents, and create a maintenance checklist. Legal questions about retention or access are escalated for qualified review.

Will Steady store employee records?

The records normally remain in the client's approved systems. Steady can organize and administer them under agreed access controls. Any hosting or storage responsibility should be expressly defined before sensitive information is transferred.

Can you update our HRIS?

Yes, if HRIS administration is included and the client provides appropriate access. Steady records approved changes and follows the client's authorization and security process.

Do you decide how long records must be kept?

No. Retention requirements depend on the record, employer, jurisdiction, and other facts. Steady can implement and track a schedule that the employer has approved with appropriate professional guidance.

Can employee-record support be a monthly service?

Yes. It can be a defined recurring scope or part of fractional HR support . It can also begin as a one-time cleanup project.

How are payroll changes documented?

The workflow records the requested change, authorized approval, effective date, supporting document, submission to payroll, and confirmation or exception. The employer controls the approval; Steady administers the handoff.
