1099 Preparation and Filing Services

1099 season is a January 31 deadline built on twelve months of records, which is why it goes badly for businesses that treat it as a January project. Our 1099 service runs all year: W-9s collected before contractors get paid, payments tracked by vendor as they happen, and the forms themselves e-filed on time with copies delivered. For our bookkeeping clients, it's a non-event by design.

What's included

  • W-9 collection system: no contractor gets a first check without the form on file Collecting W-9s: The System That Saves Your January
  • Vendor records built for filing: legal names, TINs, entity types, and 1099 flags maintained in QuickBooks year-round
  • Payment tracking that respects the rules: cash/check/ACH counted, card and platform payments excluded (those report on 1099-K)
  • Eligibility review each January: $600 thresholds, corporation exemptions, the attorney quirks, sorted correctly 1099-NEC vs 1099-MISC: Which One, When, and the Traps Between
  • Form preparation and e-filing: 1099-NEC by January 31, 1099-MISC on its schedule, recipient copies delivered
  • Corrections handled when a TIN bounces or a number changes, including CP2100 notice responses

Who needs this most

Trades running sub crews, trucking companies settling owner-operators, cleaning businesses with contractor labor, and anyone paying $600+ to unincorporated vendors, which is nearly every service business. The businesses that skip it don't save the obligation; they save it up, with per-form penalties attached.

The classification caveat

A 1099 filed correctly for a worker classified incorrectly is still a problem. If any of your contractors work like employees, that conversation comes first, we'll have it honestly. 1099 or W-2? The Tests That Decide, and the Penalties If You're Wrong

Questions, answered

Common questions

Can you do just the January filing if I bring my own records?

We take standalone January engagements when the records support them, but the honest answer is that most standalone requests become small cleanups first, because the year's payments weren't tracked by vendor. Priced accordingly, fixed fee either way.
