Onboarding fails in the gaps between departments. The hiring manager assumes payroll has the employee's information. Payroll assumes HR confirmed the start date. IT never receives the access request. The handbook acknowledgment stays in an email, and no one checks whether the first-week tasks were completed.

Steady coordinates onboarding through one documented workflow. We collect and organize approved new-hire information, assign tasks, maintain the checklist, coordinate payroll and benefits handoffs, track acknowledgments, and report anything incomplete before it becomes a first-paycheck problem.

Before the employee starts
The best time to find a missing approval is before the first day. Steady confirms the approved offer details, start date, supervisor, work location, schedule, pay information, employment status, and tasks that depend on those facts. We then issue or coordinate the required forms and assign internal tasks.
The onboarding record should show what was requested, what was received, what remains open, and who owns the next step. Sensitive employee information is handled through the agreed system and access rules, not passed casually through group email.
If Steady supported the search, the handoff begins from recruiting and hiring support . If another recruiter or the employer made the hire, we can start from the accepted offer and approved employee data.
Employment eligibility and employer responsibility
Form I-9 is an employer process. An employer may designate an authorized representative for certain completion steps, but the employer remains responsible for proper completion and for the conduct of its representative. Steady can administer the checklist and coordinate the approved procedure; the employer retains responsibility and should use immigration or employment counsel for legal questions.
The employee chooses which acceptable documents to present within the Form I-9 rules. The process should not request a specific document based on citizenship, immigration status, or national origin. Steady follows the employer's approved procedure and escalates questions instead of improvising an answer.
Payroll and benefits handoffs
The onboarding checklist connects the employee record to the systems that need it. Steady can coordinate approved information with payroll administration or the client's existing payroll provider. That includes the start date, pay rate, pay frequency, withholding forms, direct-deposit information, location, department, manager, and other fields in scope.
Benefits work is coordinated with the employer's broker, carrier, or administrator. Steady can track eligibility dates, enrollment tasks, employee communications, and payroll-deduction handoffs, but it does not act as an insurance broker unless properly licensed.

First day and first weeks
Paperwork is only one part of onboarding. A new employee also needs to understand who they report to, what they are expected to learn, where to find policies, how time is recorded, how questions are raised, and which tasks define a successful start.
Steady can coordinate the schedule, confirm that access and equipment tasks are complete, track required acknowledgments, and prompt the manager for follow-up. The manager still owns role training, day-to-day supervision, and performance expectations.

The onboarding record
A complete onboarding record is easy for an authorized person to review. It contains the approved offer and role information, completed forms and acknowledgments, task status, and evidence of required handoffs. Documents that require separate or restricted storage should not simply be combined into one catch-all personnel folder.
Steady can build the file structure and maintain it through employee records administration . The retention rules and access design should be confirmed for the employer's jurisdictions and systems.
Define completion before day one
An onboarding checklist needs a clear standard for “ready.” Steady can help the employer define which items must be complete before the employee starts, which may be completed during the first day, and which belong to the first weeks. That distinction keeps a minor scheduling task from being treated the same as a missing payroll or employment-eligibility step.
The status report can group tasks by owner: employee, hiring manager, payroll, benefits, IT or system administrator, facilities, and Steady. Anything waiting on a decision is shown separately from routine follow-up. This gives the hiring manager one view of the process instead of several disconnected email threads.
Protect the handoff when plans change
Start dates move, offers are revised, candidates withdraw, and managers change schedules. Steady updates the checklist only from an approved source and records the change across affected handoffs. For example, a revised start date may affect payroll setup, benefits eligibility, system access, orientation, equipment delivery, and the manager's schedule.
If the hire does not start, the process closes the pending record and confirms that unnecessary access, payroll, and benefits actions are stopped. This prevents an abandoned onboarding file from remaining active in one of the systems.
Adapt the checklist by location and work arrangement
An office employee, remote employee, field technician, and driver may share core forms but need different access, equipment, orientation, safety, and manager tasks. Steady can maintain a master onboarding control with role or location addenda so the common steps stay consistent without forcing every hire through irrelevant work.
For remote or multi-location hiring, the process also identifies who will complete any in-person or authorized-representative task, how original or sensitive documents are handled, and which local policies or benefits communications the employer has approved. Steady coordinates those assignments and records completion. It does not decide which jurisdictional rules apply.

Yes. The process can begin with an accepted offer and employer-approved employee information, regardless of who sourced the candidate.
Does Steady complete Form I-9 for the employer?
The scope may include Form I-9 process administration or service as an authorized representative where appropriate and expressly agreed. The employer remains responsible for proper completion, and legal questions are referred to qualified counsel.
Can onboarding include payroll setup?

Who handles benefits enrollment?

Can you create a different checklist for each role?
Yes. The core employee and payroll steps can be standardized, while equipment, access, training, licensing, and manager tasks are tailored by role or location.
What happens after onboarding is complete?
The employee record moves into ongoing administration. Steady can maintain status changes, acknowledgments, review schedules, payroll-connected updates, and other recurring tasks through fractional HR or employee-record support.
