Employee Offboarding Support
A consistent separation process for payroll, benefits, access, property, records, and internal handoffs, with the employer retaining every employment decision.
An employee departure creates several deadlines at once. Payroll needs approved separation information. Benefits and system access may need action. Company property must be returned. Managers need a communication plan. The employee record must show what happened and what was completed.

Service overview
Steady administers the agreed offboarding checklist so those tasks have owners and a traceable status. We do not decide whether someone should be terminated, determine legal risk, or replace employment counsel. Your authorized leaders make the decision; Steady coordinates the approved process.
What offboarding support can include
- voluntary and involuntary separation checklists;
- collection and organization of approved separation information;
- resignation-document and employer-response coordination;
- final-payroll information and approval handoff;
- benefits termination or continuation-coverage coordination with the appropriate provider;
- company-property return tracking;
- system, card, key, and facility-access removal checklists;
- manager and internal communication tasks;
- exit-interview scheduling and administration;
- employee-record and organizational-chart updates;
- unemployment-claim documentation organization;
- former-employee file maintenance under the employer's retention rules.
Start with the type of separation
A resignation, reduction in force, performance termination, job abandonment issue, and end of a temporary assignment do not carry the same process. Steady begins with the employer's approved classification of the event, effective date, decision maker, and required specialist review.
Higher-risk situations should pause for employment counsel. That includes contested facts, complaints, protected activity, leave or accommodation issues, wage disputes, safety reports, potential retaliation concerns, group terminations, and any circumstance the employer or Steady identifies as needing legal judgment.
The checklist is built after the decision path is clear. Administrative speed should never substitute for the employer's review.
Coordinate payroll without guessing
Final-pay requirements vary by jurisdiction and circumstance. Steady does not invent a deadline or decide what is owed. We collect the employer-approved separation date, time and pay information, PTO data where applicable, commissions or bonuses requiring review, deductions, reimbursements, and any other items in scope. The approved information is then coordinated with payroll administration or the client's provider.
When employee changes and payroll routinely fall out of sync, payroll-connected HR support can establish an ongoing approval workflow instead of rebuilding the handoff at each departure.
Benefits, access, and property
The offboarding process should identify every system and asset tied to the employee. Steady tracks assigned tasks for email, applications, building access, payment cards, keys, equipment, uniforms, documents, and any role-specific property. The people who control those systems perform the actual removal or transfer unless the scope expressly assigns it elsewhere.
Benefits termination and continuation steps are coordinated with the broker, carrier, plan administrator, or other responsible party. Employee-benefit plans can have specific disclosure and notice obligations, so the provider and plan documents should control the process. Steady tracks the handoff and evidence of completion; it does not provide insurance or benefits advice.
Preserve a clean record
The offboarding file should contain the resignation or employer-approved separation record, supporting approvals, completed checklist, payroll and benefits handoffs, property status, access confirmation, relevant communications, and any exit materials included in the process.
Steady can maintain that file through employee records and HR administration . Sensitive records and legally privileged communications should follow the employer's access and storage rules, not be placed automatically into a general personnel file.
Use the departure to improve the process
An exit interview or manager closeout can identify unclear duties, broken onboarding, scheduling problems, pay-process confusion, missing training, or recurring reasons people leave. Steady can administer a standard questionnaire and summarize process themes without turning an exit interview into a legal investigation.
Any improvements can feed back into employee onboarding , manager and supervisor support , or an HR project .
Prepare managers before the conversation
The offboarding checklist is only useful if the people involved know their roles. Steady can prepare a private task plan showing who communicates the decision, who attends, when payroll and access teams are notified, what documents are approved, how property will be collected, and where questions are routed.
For an involuntary separation, that plan is built only after the employer has completed its decision process and any needed legal review. Steady does not script legal conclusions or ask a manager to characterize disputed conduct. We organize the employer-approved facts, documents, and tasks so the meeting and downstream handoffs are not improvised.
Confirm closure
Offboarding is complete only when the employer's required tasks are closed or clearly documented as pending. Steady can issue a closeout summary listing the effective separation date, final-payroll handoff status, benefits-provider handoff, returned and outstanding property, access confirmation, employee-record location, and any open claim or document request.
The summary is an administrative record, not a release of claims or legal determination. It gives leadership a concise view and preserves follow-up items after the urgent part of the departure has passed.
Treat voluntary departures as a real process
A resignation can appear simple and still leave important work unfinished. Steady can confirm the employer's acceptance and effective date, collect forwarding and final-contact information through the approved method, coordinate transition tasks, schedule an exit interview, and document property, access, payroll, benefits, and record updates.
The employer can also define who answers later requests for employment verification, payroll records, benefits information, or returned property. Steady adds those contacts and routing rules to the closeout record so a former employee's request does not restart the entire separation process.
Managers also need to identify customer, vendor, project, password, schedule, and knowledge-transfer responsibilities. Those operating tasks belong on the same closeout view even when they are completed by another team.
If an employee asks to change or withdraw a resignation, disputes the recorded date, or raises a complaint during offboarding, Steady routes the issue to authorized leadership and counsel as appropriate. We do not resolve the dispute by editing the record without approval.
Questions, answered
Common questions
Does Steady decide whether an employee should be terminated?
No. The employer makes all employment decisions. Steady can organize information, coordinate approved steps, prepare standard documents, and maintain the checklist, but it does not make the termination decision.
Can Steady tell us when final pay is due?
Steady can coordinate with payroll and help gather the required information. Because final-pay rules vary, legal or payroll-specialist review may be required. The employer remains responsible for the deadline and approved calculation.
Do you handle involuntary terminations?
Steady can administer the approved offboarding process. Contested, complex, or higher-risk separations should be reviewed by qualified employment counsel before action is taken.
Can you remove an employee's system access?
Steady can maintain and track the access-removal checklist. The person or provider who controls each system normally performs the actual removal unless a different responsibility is expressly included.
Can offboarding include an exit interview?
Yes. Steady can schedule the interview, use an approved questionnaire, document responses, and summarize process feedback. Formal complaints or allegations are escalated under the employer's procedure.
What records are kept after the employee leaves?
The employer's record-retention rules and applicable requirements determine what is kept and where. Steady can maintain the approved structure, track retention dates, and coordinate specialist review where needed.
Close the employment record without leaving loose ends
