Hubdoc and Xero: From Source Document to Reconciled Ledger

Hubdoc and Xero can turn emailed, uploaded, photographed, or retrieved business documents into supported accounting transactions. The value is not optical character recognition by itself. The value is a controlled chain from original bill or receipt through extraction, review, approval, ledger posting, payment, bank match, and retention.

Searches such as Xero Hubdocs or Hubdocs Xero usually refer to Hubdoc, a Xero-owned document product. Current Xero guidance says eligible Xero business-edition subscriptions include one Hubdoc organization, while other plan types can be treated differently. Check current U.S. plan terms instead of relying on a reproduced Xero Hubdoc pricing number.

Understand the one-to-one organization design

Xero documents a one-to-one connection between a Hubdoc organization and a Xero organization. Map every legal entity before setup. Do not place bills for two businesses into one document inbox merely because the same owner controls both.

Use clear organization names, unique intake email addresses, responsible owners, base currency, and retention rules. Test organization switching so staff do not publish a document to the wrong ledger.

Choose capture channels

Suppliers can send documents to a controlled email, staff can upload files, and users can photograph receipts in the Hubdoc Xero app workflow. Some connections may retrieve documents from supported sources. Create one standard route per supplier and discourage repeated forwarding through several channels.

Document the accepted file types and quality standard. Xero’s help material notes that extraction can fail when an image is blurry, contains multiple documents, lacks required information, or uses unsupported content. Keep one complete document per file when practical.

Know what extraction does and does not do

Hubdoc can extract fields such as supplier, date, amount, due date, and invoice reference when available. It does not automatically understand every line item, business purpose, approval, project, tax treatment, prepaid period, asset classification, or duplicate business event.

The reviewer should compare the extracted fields to the image. Enter required account, tax, description, tracking, customer, payment, and status information. A high extraction rate is useful, but accuracy and accounting completeness are the performance measures.

Standardize supplier records

Use one approved supplier identity and map it to the correct Xero contact, account, tax treatment, tracking, and publishing rule. Test suppliers with changing legal names, multiple locations, credits, recurring invoices, and mixed purchases.

Do not save a broad rule when one vendor supplies several expense types, projects, or tax treatments. A rule should reduce repetitive entry without bypassing judgment.

Control duplicates

Hubdoc’s official guidance describes potential duplicate detection using combinations of supplier, date, amount, and invoice number. Potential duplicates are held from automatic publishing and require review. This is an important control, not an inconvenience to disable broadly.

Test the same PDF by email and manual upload, invoices with the same amount on consecutive dates, installment invoices, and a corrected invoice using the original number. Check both Hubdoc and Xero before deleting or republishing anything.

Choose the Xero transaction type and status

A supplier document may publish as a bill, spend-money transaction, or credit note depending on the workflow and eligible plan. A sales document can follow a different route. Select draft, awaiting approval, or awaiting payment to match the organization’s authorization process.

Use bills when a payable should remain open until payment. Use spend-money only when the cash event and evidence support that treatment. Do not mark a document paid merely to make the workflow look complete. Xero notes that some Hubdoc status fields have limited effects and publishing behavior must be understood.

Design approval before autopublish

Start with manual review for every supplier. After sufficient correct history, consider automatic publishing only for low-risk, consistent documents with narrow rules. Keep payment approval separate from document extraction where possible.

Credit notes, unusual invoices, duplicates, large amounts, tax changes, new bank details, and exceptions should always receive manual attention. Review autosync rules periodically and after supplier or chart changes.

Understand permissions

Hubdoc has its own user roles and publish permissions. Xero’s help material explains that Hubdoc access and Xero access are related through the connection but not identical. Test what upload-only, standard, accountant or bookkeeper, and publishing permissions allow in the current products.

Use named logins and multifactor authentication. Limit who can connect organizations, change supplier rules, publish approved bills, manage users, or export all documents. Remove departed staff promptly.

Manage publishing errors

The Hubdoc status views distinguish processing, review, failed, and archived items. Assign a daily owner to the failed queue. Common problems can involve duplicate invoice numbers, lock dates, invalid tax and account combinations, missing contacts, or a transaction that has already been edited, paid, reconciled, voided, or deleted in Xero.

Correct the source issue and retry using the documented method. Do not create a second bill directly in Xero while the failed Hubdoc document remains unresolved. Record material corrections and preserve IDs.

Integrate bill payment without duplicating documents

If a separate payment platform is used, decide whether original source documents live in Xero, the payment platform, or both under a deliberate retention design. Xero’s BILL connection guidance illustrates how document placement can be chosen to avoid duplicate copies and transactions.

Trace the bill from Hubdoc to Xero approval, payment platform, bank withdrawal, and reconciliation. Confirm status updates do not create a second bill or mark an unpaid bill paid.

Retain and export records

Hubdoc documents can be downloaded individually or by folder, and metadata can be exported under documented conditions. Test a bulk export before relying on the platform as the only archive. Confirm invoice number, dates, supplier, amounts, currency, and file associations.

Keep records according to applicable tax, payroll, legal, and business policies. IRS Publication 583 discusses supporting business records. Software storage does not determine the required retention period.

Run monthly control totals

  1. Count documents received, in review, failed, duplicate, and archived.
  2. Clear failed publishing and unexplained old review items.
  3. Compare published bills and credits to Xero transaction counts and totals.
  4. Review new suppliers, changed rules, unusual accounts, and tax codes.
  5. Reconcile payable aging to the general ledger.
  6. Reconcile paid bills and spend-money transactions to bank statements.
  7. Sample attachments from Xero back to original documents.

Worked example

A contractor emails a $4,800 materials bill, then an employee uploads the same PDF. Hubdoc flags the second document as a potential duplicate. The first is reviewed, split between two jobs, assigned the correct tax treatment, and published as a draft Xero bill.

A project manager approves it, the owner releases payment, and the bookkeeper matches the bank withdrawal. The duplicate remains excluded, the payable ledger clears, job costs receive the split, and the original document is attached. The complete chain is more valuable than extracting the amount automatically.
