Xero App Guide: Accounting, Receipts, Projects, and Secure Access

“Xero app” can mean several different products. Xero currently documents mobile apps for accounting, employee expenses and payroll tasks, projects, Hubdoc document capture, and Xero Verify authentication. It also has a web product and connections to third-party apps. Choose the app that matches the job rather than giving every user the broad accounting app.

The mobile layer should shorten capture and approval without weakening the ledger. Every invoice, bill, receipt, expense, time entry, and bank match still needs a defined owner, supporting evidence, review, correction path, and month-end reconciliation.

Xero Accounting app

The Xero Accounting app is the primary mobile companion for business accounting. Xero’s current U.S. page describes tasks such as creating invoices and bills, viewing cash flow, uploading documents, and reconciling bank transactions. Availability can depend on plan, region, role, operating system, and product release.

Give it to owners or finance users who need those tasks. Test an invoice, credit, bill, photo upload, suggested bank match, split transaction, and report view. Confirm which adjustments and review procedures still require the web interface.

Xero Me and employee workflows

Xero Me supports employee-facing functions where enabled, such as expense claims and payroll-related access in supported regions and plans. An employee should not need general-ledger access merely to submit a receipt or mileage claim.

Define submitter, approver, payment, and accounting-review roles. Require date, merchant, amount, business purpose, client or project, receipt, and policy compliance. A submitted expense is not ready for reimbursement until it is approved, checked for duplication, coded, and included in the payment and reconciliation workflow.

Xero Projects app

The Xero Projects app is designed for project tasks such as time and expense capture where Projects is available. Test project selection, task, employee, date, duration, billable status, cost rate, approval, invoice, and project-profitability reporting.

Mobile time entries should feed a controlled approval process. Prevent employees from assigning time to closed projects or changing approved entries without visibility. Reconcile project reports to invoice and general-ledger totals.

Hubdoc and receipt capture

Hubdoc can collect bills and receipts and publish accounting data under configured workflows. Xero also describes Smart Document Capture and mobile uploads. These tools use images and extracted fields, but extraction is not proof that the vendor, amount, date, tax, account, and duplicate status are correct.

A useful Xero receipt app workflow has a clear inbox, document owner, processing deadline, exception queue, approval, and retention policy. Test blurry photos, multi-page bills, credit notes, duplicate uploads, foreign currency, handwritten tips, and emailed invoices.

Xero Verify app

The Xero Verify app is an authenticator, not an accounting app. Xero states that it can provide push notifications or authentication codes for multi-factor authentication. Each person should use a named Xero account and configure their own authentication.

Document backup authentication and device-change procedures before a phone is lost or replaced. Never approve an unexpected login prompt. Remove access for departed staff and review organization users periodically.

Android, iOS, Mac, and browser access

Xero publishes current technical requirements for its Android and iOS apps. Device and operating-system minimums change, so check the official page before buying hardware or deploying to staff. Keep the app and operating system updated.

A search for a Xero app for Mac usually refers to using Xero through a supported web browser, not a separate locally installed general ledger. Confirm current supported browsers and any desktop companion behavior. Test printing, file upload, downloads, password management, and screen locking on the actual device.

Third-party connected apps

A Xero connected app may handle ecommerce, inventory, payroll, approvals, CRM, reporting, payments, or automation. It is separate from Xero’s own mobile apps. Review the developer, Xero App Store listing, requested permissions, data location, sync direction, support, pricing, and disconnect process.

Send representative normal and exception transactions. Confirm stable IDs, duplicate prevention, error messages, retry behavior, and reconciliation. Revoke unused connections promptly.

Design mobile permissions

Xero roles and feature permissions affect what a user can do in its apps. Assign access by task. A salesperson may need to create a draft invoice, a field worker may need project time, and a manager may need expense approval. They do not all need bank accounts, reports, journals, settings, or vendor-payment powers.

Test permissions with a nonadministrator account. Do not rely only on the settings label. Confirm whether the user can view sensitive balances, create contacts, change bank details, approve bills, reconcile, export, or switch organizations.

Secure the device and data

• Require screen lock, device encryption, updates, and remote-wipe capability.
• Use a password manager and named login.
• Do not share authentication codes or approve unexpected prompts.
• Avoid untrusted Wi-Fi or use an approved secure connection.
• Restrict screenshots and downloads of sensitive reports where policy requires.
• Remove Xero access and business data when a device or employee leaves service.

Worked example

A five-person consulting firm gives the owner and bookkeeper the Xero Accounting app, consultants the Projects app for time, employees Xero Me for expenses, and each user Xero Verify for MFA. Hubdoc receives vendor bills.

Consultants submit time and receipts, a manager approves them, the bookkeeper reviews coding and duplicates, and the owner releases payments. At month-end, project time and expenses tie to project reports, reimbursements tie to payroll or bank payments, documents support bills, and all bank and card accounts reconcile. The apps divide tasks without giving every employee ledger access.

Common mistakes

• Installing the wrong Xero app for the user’s job.
• Assuming mobile has every web function.
• Giving accounting access to users who only submit time or receipts.
• Treating captured images and extracted fields as approved transactions.
• Sharing logins or authentication devices.
• Ignoring app and operating-system updates.
• Connecting third-party apps without testing failures.
• Leaving former employees and devices authorized.

Decision rule

Deploy the app only when its task is defined, the current device and plan support it, permissions are no broader than required, evidence and approvals remain intact, web handoffs are documented, exceptions are visible, and every mobile-originated transaction reaches a reconciled ledger.
