Intuit’s current comparison says the mobile and web experiences use the same Intuit account and synchronized company data. It identifies receipt capture and mileage tracking as mobile-oriented features, while the web experience adds deeper tools. Some functions depend on plan, subscription, rollout, or eligibility.

  1. Download the official QuickBooks Accounting app from the Apple App Store or Google Play rather than an advertisement or third-party download page.

  4. Enable only the device permissions needed for the approved workflow, such as camera access for receipts.
  5. Turn on the device lock, current operating-system updates, remote-wipe capability, and multifactor authentication.

Intuit publishes minimum supported browser and mobile operating-system requirements, but a technically supported device is not necessarily a secure company device. Maintain a company policy for lost phones, former employees, personal cloud photo backups, and local document storage.

Build a reliable receipt workflow

The QuickBooks receipt app workflow can accept a photo from the phone. Intuit says QuickBooks extracts information and creates an item for review, where a user can edit it, add it, or match it to an existing transaction. Extraction is a starting point, not an approved accounting entry.

  1. Flatten the receipt and photograph the full document with the vendor, date, items, taxes, tip, and total visible.
  2. Add a business purpose, customer or project, and attendees where the company’s documentation policy requires them.
  3. Do not upload images containing unnecessary card numbers or government identifiers.
  4. Have a designated reviewer compare vendor, date, amount, payment account, category, tax, class, location, project, and attachment.
  5. Match the receipt to an imported bank or card transaction when appropriate instead of creating a duplicate expense.
  6. Reconcile the account after all transactions are processed.

Intuit’s current instructions specify one receipt per supported file and warn that some newer Apple images may require conversion from HEIC. Keep the original source record under the business’s retention policy.

Use mobile invoicing with controls

A field employee can create an estimate or invoice, obtain a signature where available, and record a payment. Before enabling this workflow, configure customers, products and services, income accounts, sales-tax settings, payment terms, invoice numbering, deposits, discounts, and permissions in the web system.

Separate “payment received” from “deposit reconciled.” Card and bank payments may settle in batches net of fees or include refunds and disputes. The accounting team should tie the customer payment to the invoice, map the processor activity, and reconcile the actual bank deposit.

Limit mobile access by job

Give each person the least access needed. A technician may need estimates, invoices, receipts, and customer details but should not have administrator settings or unrestricted financial reports. An owner may review cash and customer balances without posting adjustments.

Document which actions are permitted on mobile, which require web review, and which are reserved for the bookkeeper. Test the actual user account because an administrator’s screen does not prove what another role can do.

Worked example

An HVAC company gives the QuickBooks phone app to four technicians. Each technician selects the customer and approved service item, creates an invoice, obtains the customer’s signature, and photographs material receipts before leaving the job. Technicians cannot change the chart of accounts or reconcile the bank.

Every morning, the office manager checks missing job references, duplicate receipts, sales-tax treatment, and open invoices. The bookkeeper then matches card settlements and reconciles the bank. The mobile step reduces lost paperwork, while the review step prevents faster entry from becoming faster misclassification.
