QB accounting software is not one product. Intuit QuickBooks includes cloud plans for different business stages, a Solopreneur product for certain Schedule C filers, QuickBooks Desktop Enterprise, accountant tools, payroll and payment services, mobile applications, and optional bookkeeping help. Capabilities and eligibility vary by product, plan, country, and date.

Choose the exact QuickBooks system that can complete the company’s transactions, reconciliations, reports, controls, and record export. A familiar brand or Quick Books demo does not prove that inventory, projects, sales tax, multiple users, or migration will work as required.

Intuit’s July 2026 subscription guidance lists current user and feature differences among Online plans. Verify the live product page before purchasing because plan names, limits, and inclusions change.

QuickBooks cloud can mean two things

QuickBooks Online is a cloud platform accessed through browsers and applications. QuickBooks Desktop Enterprise can also be hosted by a supported provider, placing the desktop program and company file in a remote environment. Hosted Enterprise keeps desktop behavior; it does not become QuickBooks Online.

New US subscribers can no longer purchase Desktop Pro Plus, Premier Plus, Mac Plus, or Desktop Enhanced Payroll after Intuit’s 2024 sales change. Existing subscribers have different renewal conditions, while Enterprise remains available. Avoid third-party sites claiming to sell unauthorized new Desktop licenses.

Separate software from bookkeeping service

QuickBooks Live is a service, not another ledger. Intuit’s current help page says its bookkeeping team can categorize transactions, reconcile accounts, and discuss reports under the service scope. The business still needs an appropriate QuickBooks subscription, timely records, source documents, and owner decisions.

Compare service scope for cleanup, catch-up, ongoing work, payroll, bills, invoicing, inventory, tax, accounts receivable, accounts payable, and advisory needs. A software subscription and a bookkeeping engagement solve different problems.

Define the accounting requirements

List the legal entity, accounting method, fiscal year, users, banks, cards, customers, vendors, invoices, sales receipts, bills, payments, payroll, sales tax, contractors, loans, fixed assets, inventory, projects, locations, currencies, and financial reports.

Add operational requirements: estimates, progress invoices, purchase and sales orders, assemblies, warehouses, time tracking, approval workflows, ecommerce, CRM, payment processing, document capture, and accountant access. State which system owns each transaction when applications connect.

Test the core transaction cycle

Create a controlled company and process an invoice, partial payment, sales receipt, customer credit, refund, bill, vendor credit, card charge, bank transfer, payroll journal, loan payment, owner transaction, and accrual. Include an attachment and a transaction that needs correction.

Reconcile every bank and card to a statement. Run trial balance, balance sheet, profit and loss, cash flow, receivable aging, payable aging, and general ledger for identical dates and accounting basis. Confirm that reports drill to transactions and documents.

Choose QuickBooks users and permissions

Plan who can manage company settings, customers, vendors, bills, payments, bank accounts, payroll, journals, reconciliations, reports, apps, and close. QuickBooks users and role options differ by plan and product.

Test access rather than accepting a role name. Determine whether a user can export data, view sensitive payroll, change vendor bank details, edit a closed period, delete a transaction, or connect an application.

Evaluate automation carefully

Bank connections, rules, receipt extraction, recurring transactions, invoice reminders, and application sync can reduce data entry. Start with repeatable, low-risk transactions and review the result. New vendors, owner activity, payroll, tax, loans, fixed assets, unusual amounts, and closed periods need stronger review.

QuickBooks automatic invoicing should create the intended date, customer, items, tax, terms, account, and tracking. Test a failed payment, changed contract, cancellation, partial period, and duplicate trigger. Reconcile the complete invoice population to the source agreement.

Integrations need accounting ownership

For banks, processors, payroll, ecommerce, time, expenses, CRM, and inventory, document source, destination, object, direction, identifier, mapping, timing, exception owner, and reconciliation. Decide whether the application sends detail, daily summaries, or settlements.

Xero, QuickBooks, and Sage are competing ledger platforms, not interchangeable connectors. A comparison should use the same transactions and close. Do not maintain live books in Xero and QuickBooks simultaneously unless one system has a clearly documented subordinate purpose.

What Mint QuickBooks searches mean

Mint was Intuit’s consumer personal-finance product and is not QuickBooks accounting software. Do not use personal-finance category history as a business ledger without reviewing completeness, entity separation, accounts, liabilities, documents, and accounting treatment.

A business moving from personal tracking should establish a proper chart, opening balances, separate business accounts, and a source-document process. Reconcile from the first business period rather than importing categories blindly.

Migration into QuickBooks

Decide whether to move full history, open transactions and balances, or a clean cutoff with a retained source archive. Export customers, vendors, accounts, items, transactions, reconciliations, documents, reports, and audit evidence.

After import, compare trial balance, statements, aging, bank and card balances, loans, tax, payroll, inventory, projects, equity, documents, and transaction counts. Reconcile each account independently. Keep the source until the new books complete a reviewed close.

Moving between Desktop and Online

QuickBooks Desktop and Online do not sync. Intuit provides conversion methods, but features and data can move differently. Inventory, sales orders, payroll, jobs, assemblies, price levels, custom fields, attachments, and reports require specific testing.

Back up and verify the Desktop file, review Intuit’s current migration requirements, use a test Online company, and compare every control report. Do not cancel Desktop or its hosting until the Online close, exports, and retention plan are accepted.

Worked selection example

A consulting firm has four office users, two contractors, time-based invoices, reimbursable expenses, recurring retainers, and project profitability reporting. It does not hold inventory.

Simple Start fails the user and project requirements. The firm pilots an applicable higher Online plan and Enterprise hosting. Both produce correct statements, but Online completes time, invoice, bank, and remote accountant workflows with fewer infrastructure steps.

The firm chooses Online, restricts user roles, tests automatic retainers, and reconciles one complete month. It records an Enterprise reconsideration trigger if inventory, complex orders, or desktop-only integrations emerge.

Common failures

  • Buying “QuickBooks” without naming the product, plan, country, and year.
  • Choosing a plan by user count but missing inventory, project, or currency requirements.
  • Confusing hosted Enterprise with QuickBooks Online.
  • Assuming QuickBooks Live includes every bookkeeping, tax, payroll, and operational task.
  • Turning on rules and recurring entries before testing exceptions and corrections.
  • Connecting an app without settlement and source-to-ledger reconciliation.
  • Accepting a migration because the profit and loss looks plausible.

Decision rule

Select the QuickBooks accounting package only after its exact current product and plan completes the company’s transaction cycle, user controls, integrations, reconciliation, close, reporting, export, and recovery. Use Solopreneur for a qualifying simple self-employed case, Online for tested cloud workflows, and Enterprise when verified desktop depth justifies the operating model.
