Xero and Amex: Set Up the Feed and Reconcile the Statement

Set up Xero and American Express with the correct card hierarchy, direct feed, historical cutoff, supplementary-card controls, receipt workflow, payment matching, and statement reconciliation.

A Xero Amex connection can import cleared American Express transactions, but the feed does not supply business purpose, receipt approval, accounting classification, or proof that the statement is complete. The control objective is a fully supported card ledger that reconciles to every monthly statement.

Xero’s current U.S. help page describes direct feeds for eligible American Express checking, charge-card, and credit-card accounts, including primary and supplementary cards. Eligibility, history, timing, authentication, and behavior can change, so confirm the official instructions for the actual account before setup.

Map the Amex account structure first

List every primary account, supplementary employee card, business checking account, currency, last four digits, statement cycle, cardholder, and payment bank. Decide whether Xero needs one consolidated liability or separate ledger accounts that mirror independent statements.

Xero warns that the primary American Express feed can include transactions from primary and supplementary cards. Connecting both primary and supplementary feeds may import the supplementary activity twice. Test the hierarchy with a short date range before loading history.

Prepare the Xero ledger

Create or confirm the correct Amex bank or credit-card account in Xero. Use a recognizable name and last four digits. Enter a reconciled opening balance at the approved conversion date. Do not create a second account merely because the feed setup screen offers that option.

Review unresolved old transactions, uncleared payments, credits, and statement balances. A new feed cannot repair an incorrect opening liability. Preserve prior statements and the conversion reconciliation.

Connect the direct feed carefully

The official workflow requires an eligible account holder to authorize the connection and consent to data sharing. Match each Amex account to the intended Xero account and select a history start date that follows the existing imported data.

Record who authorized the connection, which accounts were selected, the start date, and the expected reauthentication. Xero currently states that U.S. Amex direct feeds require annual reauthentication and import automatically rather than through a manual refresh. Monitor notices and access changes.

Control the historical cutoff

If transactions already exist from manual entry or prior imports, starting the feed too early can create duplicates. Starting too late can create a gap. Export the Amex activity for the overlap period and compare dates, amounts, and descriptions line by line.

Run Xero’s duplicate and bank-reconciliation reports. Delete only a confirmed duplicate statement line, not the underlying correctly recorded expense or payment. Retain a record of material corrections.

Distinguish pending and cleared activity

Bank feeds generally import cleared transactions. A pending Amex charge can change amount or date before posting, especially for travel, fuel, tips, or foreign currency. Do not add a manual copy merely because yesterday’s pending item has not arrived.

If cleared items are missing, check feed status and the actual statement. Xero’s guidance describes manual import as a way to supply missing lines. Use a date-limited file and immediately check for overlap.

Build the cardholder receipt workflow

Require cardholder, transaction date, merchant, amount, business purpose, client or project, receipt, and approval. Define deadlines after purchase and before statement close. Establish rules for tips, mileage versus fuel, travel, meals, subscriptions, split business and personal charges, returns, and disputed activity.

Use Xero, an expense tool, or a controlled document system to connect evidence to the transaction. The person approving the feed suggestion should verify the evidence rather than infer purpose from a merchant name.

Use rules without hiding exceptions

Bank rules can speed repetitive coding. Keep rules narrow by payee, description, amount, card, tax, and account. Review new subscriptions, large transactions, round-dollar charges, foreign merchants, weekend activity, and unexpected categories.

Never use a rule that sends every unmatched card transaction to miscellaneous expense. A wrong automated classification can persist for months while the account still reconciles.

Record Amex payments as transfers

A payment from checking reduces cash and the Amex liability. It is not a new expense. Match the checking withdrawal and card payment through a transfer or equivalent linked treatment so it is not counted twice.

Test partial payments, multiple payments, autopay, returned payments, rewards credits, annual fees, interest, and statement credits. The card statement balance and the ledger balance should still reconcile after each event.

Reconcile every statement

  1. Obtain the official statement for each account and cycle.
  2. Confirm the opening balance agrees with the prior closing balance.
  3. Compare charges, credits, fees, interest, and payments.
  4. Resolve missing and duplicate feed lines.
  5. Confirm every expense has purpose, category, tax treatment, and evidence.
  6. Enter the statement closing balance and complete reconciliation.
  7. Review old unreconciled items and retain the statement and report.

Worked example

A primary card statement includes $6,000 of primary-card purchases, $2,000 from two supplementary cards, a $150 merchant credit, and a $4,000 payment. The closing liability increased by $3,850 before any fees or interest.

The team accidentally connects both the primary feed and one supplementary feed. Xero receives $500 of the supplementary charges twice. The statement comparison and duplicate report identify the error. The duplicate statement lines are removed, receipts are matched by cardholder, the payment is recorded as a transfer, and the corrected ledger reconciles to the statement.

  • Connecting primary and supplementary feeds without testing duplication.
  • Creating a duplicate Xero account during feed setup.
  • Importing history over transactions already loaded.
  • Recording card payments as expenses.
  • Coding pending activity manually before it clears.
  • Using broad rules without receipt and business-purpose review.
  • Leaving personal charges or employee receivables unresolved.
  • Accepting the feed balance without the monthly statement.

The Amex Xero connection is ready when the account hierarchy is documented, each feed maps once, the historical cutoff has no gap or overlap, receipts and approvals support purchases, payments are transfers, missing and duplicate items are controlled, reauthentication has an owner, and every statement reconciles to zero difference.
