It must separate internal transfers from dispositions and connect digital-asset records to the general ledger, bank activity, invoices, payroll or vendor records, and current tax reporting.
No import tool can repair missing wallets or unknown transaction context automatically. Inventory every address and account before choosing software, then test one complex chain from source to return-ready records.
Define the business use of digital assets
Document whether the company accepts customer payments, pays vendors, holds treasury assets, trades, stakes, mines, earns protocol rewards, issues tokens, manages NFTs, provides services, or receives assets from owners. Separate business activity from personal activity and separate legal entities.
The system required by a retailer accepting occasional cryptocurrency differs from one required by a digital-asset trading or technology business. Obtain accounting, tax, and legal guidance appropriate to the activities and jurisdictions.

Build a wallet and exchange inventory
Create a register with entity, platform, wallet or address, network, asset types, custodian, ownership evidence, authorized users, purpose, opening date, closing date, and data-export method. Include hardware wallets, smart-contract addresses, staking accounts, bridges, and inactive accounts.
Do not store private keys or seed phrases in the accounting system or implementation workbook. Maintain key custody and recovery under a separate security policy. Accounting staff generally need addresses and read-only data, not authority to move assets.
Illustrative transaction chain
Assume an illustrative business buys 2 units of a digital asset for cash, moves them from an exchange to a self-custody wallet, pays a network fee, later uses part of the asset to buy a business service, and receives a refund in a different digital asset. It also receives a customer payment and converts it to US dollars.
The software should match the exchange-to-wallet movement as an internal transfer while preserving the fee and both legs. It should capture the service purchase, digital-asset disposition, units, value, basis, and transaction cost under the reviewed policy. The customer receipt should connect invoice settlement, digital-asset receipt, later conversion, fees, and bank deposit.
The reviewer traces transaction IDs, timestamps, units, wallets, exchange records, invoices, bank statements, ledger entries, and tax workpapers. A matching ending wallet balance does not prove income and basis are correct.
Transfers are the central reconciliation problem
Imports may show an outbound transaction from one source and an inbound transaction in another. Match them using asset, units, time, transaction ID, addresses, and fees. Account for wrapped assets, bridges, chain changes, and exchange internal movements carefully.
Unmatched transfers can create false sales, income, purchases, or missing assets. Maintain a transfer-exception report and do not finalize gains and losses while material movements remain unexplained.
Lots, basis, and wallet records
Current IRS digital-asset FAQs emphasize records sufficient to support return positions, including receipts, sales, exchanges, dispositions, transfers, and fair market value. Newer guidance also addresses basis and wallet-specific concepts. Rules and transition provisions are technical and evolving.
The software should retain original acquisition data and every adjustment instead of storing only a calculated summary. Confirm lot-identification methods, default behavior, fee treatment, wallet handling, and the ability to reproduce calculations by transaction and tax year.
Fees can create more than an expense line
Digital-asset fees may be paid in fiat, the asset transferred, another asset, or units withheld from assets received. IRS FAQs note that using digital assets for transaction services can itself involve a disposition. Do not map every network or broker fee to ordinary expense without reviewing the underlying transaction.
Preserve fee asset, units, value, time, transaction ID, and related purchase, transfer, sale, or exchange. Let the tax professional apply current transaction-cost and gain-or-loss rules.
Income, rewards, and business receipts
Identify customer payments, compensation, mining, staking, rewards, airdrops, referral amounts, lending or liquidity activity, and other receipts separately. Capture when the business obtained the relevant control, units, fair market value source, restrictions, and later disposition.
Do not call every inbound transfer income. Owner contributions, internal transfers, returned collateral, loan proceeds, and migrated assets may have different treatment. Require transaction context and approval.
Valuation policy
Document source hierarchy, exchange or index, time convention, currency, illiquid-asset handling, foreign exchange, missing-price method, and override approval. Preserve the actual price source used for each material transaction.
Compare imported values with independent market evidence for a sample. Review thin markets, stablecoin deviations, NFTs, liquidity-pool positions, wrapped assets, and tokens without reliable quotations separately.
General-ledger integration
Decide whether the crypto subledger posts transaction-level or summarized journals. High-volume businesses may use controlled summaries, but detailed source transactions must remain accessible and traceable.
Map digital-asset assets, income, expenses, gains or losses under approved accounting policy, receivables, payables, owner activity, and clearing accounts. Reconcile subledger units and values to the general ledger and financial statements monthly.
Form 1099-DA and other information records
Current IRS guidance describes Form 1099-DA broker reporting and its phase-in, including gross proceeds and certain basis information. Use forms with other records. The absence of a form does not establish that activity is unreportable, and a form may not contain complete basis.
Reconcile broker statements to exchange activity, subledger calculations, and the general ledger. Track corrections and maintain correspondence. Confirm the current year instructions before filing.
Security and segregation of duties
Separate transaction initiation, wallet approval, accounting import, valuation override, journal approval, and reconciliation when practical. Use multi-signature or institutional controls appropriate to the risk. Maintain address allowlists, device security, incident response, and tested recovery.
Limit API keys to read-only permissions whenever feasible. Review connected-app access and revoke old credentials. Never send private keys to bookkeeping or tax software support.
