QuickBooks Online Simple Start is an entry-level QuickBooks Online plan for a small business with straightforward accounting and limited regular-user needs. It can support core income, expense, invoice, banking, and report workflows, but the current capacity and missing features must be tested before live use.

Start with the likely fit
Simple Start is most plausible for one owner or operator with a service business, one legal entity, no material stocked inventory, no need for class or location reporting, and a modest number of straightforward bank, card, customer, and vendor transactions. Accountant access may be handled separately under current rules, but confirm all required users.
It is a weak fit when employees need distinct roles, bills and time require more developed workflows, transactions recur through templates, multicurrency is needed, stock quantity and value are material, or management depends on projects, classes, locations, advanced fields, or higher reporting capacity.
Confirm current Simple Start limits
Intuit’s current US plan-change guidance lists Simple Start with one billable user and one custom field per transaction. The same current guidance says Simple Start does not have class and location tracking, places recurring transactions and multicurrency in Essentials and higher listed plans, and places inventory tracking in Plus and Advanced.
These boundaries can change. Record the date and official source, and check current accountant, sales-tax, payments, payroll, receipt, and add-on rules separately. A product demo may show a feature that is not included in the intended subscription.
Test the complete customer cycle
- Create a controlled customer and service item.
- Create an estimate if the business uses quotes.
- Issue an invoice with the correct date, terms, account, tax, and message.
- Record a partial and final payment.
- Process a credit or refund.
- Group processor receipts and fees through a clearing workflow.
- Match the deposit and reconcile customer detail, revenue, fees, tax, and bank.
Do not categorize the bank deposit as new income after applying the invoice payment. That duplicates revenue. Test unapplied payments, overdue invoices, failed payments, and changes to an invoice after payment.
Test the vendor and expense cycle
Process a card purchase, bank expense, owner-paid cost, vendor refund, transfer, and loan payment. Preserve vendor, date, amount, business purpose, account, customer or project association, tax treatment, receipt, and approval.
If the business needs bills entered before payment, purchase orders, structured approvals, or multiple payment users, verify the current Simple Start capability and connected service rules. Do not use an ordinary expense as a substitute if it hides unpaid obligations.
Control banking and reconciliation
Connected banking downloads potential transactions; it does not replace the books. Match items already recorded and add new activity only after checking the source. Define rules for transfers, owner activity, loan payments, grouped deposits, fees, duplicate downloads, and personal transactions.
Reconcile every bank and card account to an external statement. Intuit’s current Online procedure uses statement dates and balances and seeks a zero difference. Retain the statement and reconciliation report and investigate changes to previously reconciled items.
Use one-user access safely
A one-user plan is not permission to share a login among the owner, employee, spouse, and contractor. Use an individual controlled identity. Confirm current accountant access separately and never hand over the primary administrator password.
If another person needs ongoing entry, payment, payroll, reporting, or approval access, count that as a real requirement. Upgrade or redesign the process rather than losing accountability through shared credentials.
Know what a custom field cannot replace
A limited custom field can capture one controlled transaction attribute, such as sales channel or contract reference, if supported on the necessary forms and reports. It does not automatically create department, location, project profitability, inventory, or entity accounting.
Test the field across invoices, expenses, imports, recurring work, apps, exports, and reports. If the value is missing from material transactions, a filtered report may not reconcile to the full financial statement.
Simple Start desktop and app confusion
The phrase “QuickBooks Simple Start desktop” can refer to an older or different Desktop product, or to using a desktop application to access QuickBooks Online. QuickBooks Online Simple Start remains an online service when accessed from a browser or supported app.
Confirm exact product, country, release, and file type before purchasing, installing, or migrating. Do not follow Desktop backup or company-file instructions for an Online company.
Complete a first-month close
Reconcile bank and card accounts, review customer balances, verify unpaid obligations, tie loans, review sales tax and payroll connections if applicable, classify owner activity, inspect uncategorized and suspense balances, and run accrual- and cash-basis reports as needed.
Compare the balance sheet, profit and loss, cash flow, general ledger, and transaction detail with source schedules. Track time spent outside the system. A plan is not inexpensive if the owner rebuilds required reports every month.

A solo consultant has one bank account, one card, 20 monthly invoices, no inventory, no employees, and an outside accountant. Simple Start passes invoice, payment, expense, bank, report, and accountant-access tests.
Six months later, an employee needs access and the owner wants recurring invoices and department reporting. The company compares current plans and moves to a suitable option rather than sharing the login or maintaining an off-ledger department spreadsheet.
