The A2X Xero integration is designed to turn ecommerce settlement or payout data into summarized accounting entries that can be matched to deposits in Xero. It can reduce the volume of individual orders reaching the ledger, but it does not decide how sales, discounts, refunds, marketplace fees, taxes, or cost of goods sold should be classified. That accounting design still belongs to the business and its bookkeeper.

A safe implementation starts with one sales channel, one representative payout, and a written mapping. Post the test as a draft, compare it with the source settlement, approve it only after review, and reconcile it to the bank deposit. Automation comes after that complete cycle works.

What A2X sends to Xero

A2X connects to supported ecommerce channels, reads their settlement or payout data, and prepares summarized entries. The current Xero App Store listing describes support for Amazon, Shopify, Walmart, eBay, Etsy, and PayPal. The exact data available depends on the connected channel.

For the documented Amazon workflow, A2X groups settlement activity into income and expense categories, then sends an invoice to Xero. A negative settlement can be sent as a bill. When the related deposit or withdrawal appears in Xero’s bank feed, the user matches it to the approved entry. This is different from importing every order and every fee as a separate ledger transaction.

The summary approach can keep Xero usable at higher order volumes, but only if the summary preserves the distinctions management and the tax return need. A single line called “Amazon sales” may be too broad when the business needs separate marketplace, jurisdiction, tax, refund, or product reporting.

Decisions to make before connecting A2X

Define the source of truth

Identify which system owns orders, refunds, taxes, fees, inventory movements, and cash settlements. A2X should bridge the channel and Xero, not become an undocumented second source of truth. Retain the original channel report used to prove each payout.

Prepare the chart of accounts

Create or approve accounts for sales, discounts, refunds, marketplace fees, payment processing, shipping income and expense, tax liabilities, gift cards, reserves, and clearing balances as applicable. Avoid accepting default accounts without checking how each line will appear on the financial statements.

Choose tax mappings deliberately

Tax collected by a marketplace can have a different accounting treatment from tax the seller collects and remits. A software mapping cannot determine the legal obligation from the transaction label alone. Document the tax owner, jurisdiction, and source report, then have the mapping reviewed for the business’s facts.

Decide whether tracking is needed

If the business reports by marketplace, country, brand, or another dimension, confirm what Xero tracking and A2X grouping can support. Do not add a tracking category merely because it is available. Add it when someone reviews the resulting report and staff can maintain the rule consistently.

How to set up the A2X integration with Xero

  1. Reconcile Xero first. Confirm that opening balances and bank accounts are current before adding ecommerce entries.
  2. Connect the sales channel to A2X. Use an owner-controlled login and record which store, marketplace, region, and legal entity were authorized.
  3. Connect A2X to the correct Xero organization. A2X’s current support documentation places the accounting connection under its home page or Settings and Connections. Verify the organization name after authorization.
  4. Refresh the account data. Confirm that A2X can see the current Xero accounts, tax rates, and any tracking used by the mapping.
  5. Map every settlement category. Record the source label, destination account, tax treatment, tracking rule, and reviewer for each line.
  6. Select a representative payout. Include ordinary sales plus at least one refund, fee, tax line, or other exception.
  7. Post in draft status. A2X states that posting is not active by default. Keep the first entries in a reviewable state instead of enabling auto-approval immediately.
  8. Approve and reconcile. Compare the Xero entry to the A2X summary and source settlement, then match the approved amount to the bank deposit.

A worked reconciliation example

Assume a marketplace issues an illustrative $9,250 deposit. Its settlement report shows $10,400 of gross sales, $300 of refunds, $620 of marketplace and processing fees, and $230 held in a reserve. The arithmetic is $10,400 less $300, less $620, less $230, which equals the $9,250 cash deposit.

The A2X summary should preserve those components under the approved mapping. In Xero, the posted entry should total $9,250 for matching while the revenue, contra-revenue, fee, and reserve lines reach the intended accounts. The reviewer ties each line to the settlement report, approves the entry, and matches it to the $9,250 bank-feed item.

If the Xero entry totals $9,480 because the reserve was omitted, do not force the difference to a miscellaneous expense account. Correct the mapping or settlement treatment, repost the test if needed, and retain the explanation. A bank match is the end of the proof, not a substitute for it.

Month-end and multi-currency complications

A payout may cover transactions from two accounting periods. A2X’s current Amazon guidance explains a split-month workflow that uses separate invoices and a carried-forward balance so sales and fees can be assigned to their periods while the final amount still matches one deposit. Review both entries and confirm that the temporary balance clears.

Foreign-currency payouts add another layer. The channel currency, settlement currency, Xero base currency, conversion date, fees, and exchange gains or losses must be distinguishable. Confirm that the selected Xero plan and the channel connection support the required currencies before relying on an automated match.

Controls to keep after launch

  • Reconcile every payout to both the source settlement and the bank activity.
  • Review unmapped or newly introduced transaction types before posting.
  • Inspect refunds, chargebacks, negative settlements, reserves, and split-month entries separately.
  • Restrict who may change accounts, tax rates, tracking, auto-posting, and auto-approval.
  • Recheck mappings when a marketplace changes its fee or settlement format.
  • Compare channel sales reports with the general ledger at each close.
  • Export and retain the settlement, A2X summary, Xero entry, and reconciliation evidence.

Common A2X and Xero setup failures

  • The wrong Xero organization is connected. Entries reach a different entity and may not be discovered until close.
  • Every category maps to sales. Refunds, fees, taxes, and reserves disappear inside net revenue.
  • Auto-posting begins before a test. A bad mapping multiplies across many settlements.
  • The deposit is matched without source proof. Cash agrees, but the income statement and liabilities are wrong.
  • Split-month payouts are recorded in one period. The deposit matches while revenue and fees fall in the wrong month.
  • New channel labels are ignored. Unmapped activity accumulates in a suspense or default account.

When A2X is a reasonable fit

A2X is most relevant when a supported ecommerce channel produces settlement complexity or transaction volume that is inefficient to post order by order. A very small seller with few monthly transactions may be able to use a simpler controlled summary. A business that needs detailed order, inventory, fulfillment, or customer reporting in Xero should test whether summarized settlement accounting provides enough detail or whether those reports should remain in another system.

The decision is not only about time saved. Compare reconciliation quality, exception handling, reporting detail, access control, migration effort, and the ability to export historical support. A successful test should let a reviewer move from the bank deposit to the Xero entry, A2X summary, and source settlement without guessing.
