Payroll Administration for Small Businesses

Payroll has to be right, on time, every time, and it is the back-office task owners most often do themselves at 9pm before payday. We administer the whole function: setup, every run, the filing calendar, and the year-end forms, working through established payroll platforms (Gusto, QuickBooks Payroll) so tax deposits and filings process on rails while we manage, reconcile, and verify everything around them.

What we handle

  • Setup or takeover: pay schedules, direct deposit, state registrations, employee paperwork (W-4s, I-9s, new-hire reporting)
  • Every payroll run on your cycle: hours collected, changes applied, approvals confirmed, submissions on time
  • Pay changes, bonuses, commissions, reimbursements, deductions, and garnishment coordination
  • Provider oversight: we configure the platform, monitor its filings (941s, state returns, W-2s), confirm they are submitted, and reconcile every run to the books
  • Multi-state crews: work-state withholding, unemployment allocation, and the local tax layer handled correctly Multi-State Payroll: The Rules for Crews That Cross State Lines
  • Contractor payments alongside employees: W-9 systems and 1099 season 1099 Preparation and Filing Services
  • Year-end: W-2 verification, payroll tied out to filings, and a clean handoff into tax preparation

Payroll that talks to your books

Because we keep the books too, payroll does not land in your P&L as one useless lump. Labor gets allocated where it belongs: by job, crew, route, or location, so your job costing reflects what labor actually cost, burden included. This is the practical advantage of one firm doing both, and it is the difference between knowing your margin and guessing at it. Job Costing and Accounting for Field-Service Businesses

W-2 crews, 1099 crews, or both

Service businesses run on mixed workforces: employed techs, subcontracted crews, seasonal labor. We keep the paperwork defensible on both sides and flag classification risks before an agency does, because worker misclassification is one of the most expensive shortcuts in the trades. 1099 or W-2? Questions, answered

Common questions

Do you file the payroll taxes yourselves?

Filings and deposits process through the payroll platform's tax service, which is the modern standard and the safest architecture. Our job is everything around it: correct setup, on-time runs, monitoring that filings are submitted, and reconciliation to your books. When something is off, we flag it and get it corrected. That is the layer software does not provide.

How is payroll priced?

With your bookkeeping engagement, by headcount and pay frequency, quoted flat and in writing. Platform subscription fees are separate and transparent.

Can you take over mid-year?

Yes. Mid-year takeovers with prior wage data migrated are routine, and careful migration is what makes January's W-2s come out right.
